

Payroll Specialist - US
Our partner is a well-established technology & operations center in Bucharest, part of one of the world's leading financial groups.
This position is part of the HR Operations team, responsible for providing HR services to the organization’s global subsidiaries.
Payroll is the latest process added to the team’s portfolio.
To support this, we are building a dedicated payroll team focused on ensuring a smooth transition, consistent delivery, standardization and continuous improvement, following a multi-year plan.
As a Payroll Specialist – SME for the US market, you will play a key role in documenting the payroll process and transitioning parts of it to the dedicated team in Romania. You will also be responsible for defining handovers, setting up communication and control procedures, providing training to the team, and supporting change management activities.
This role best fits those candidates who feel at ease navigating into large corporate environments, finding their way and dealing with complexity and ambiguity that are inherent around large scale transformation programs.
Experience in an SSC or BPO environment, particularly with international exposure, is considered a strong advantage.
The schedule will be 12-21 until March 2026 (planned Go-live), after which it will transition to standard hours (9-17).
Your key responsibilities will revolve around:
Gain the understanding of the end-to-end payroll process and particularities in USA, supporting tools and technologies, requirements for team members performing the processes;
Create action plans for payroll process transitions, embedding key requirements; work together with the project team to obtain the needed inputs and to validate them as per planning;
Act as a Payroll Subject Matter Expert for the transitioned processes and Continuous Improvement;
Ensure deliverables are completed within deadlines or workaround is in place;
Act as a mentor/buddy for more junior colleagues by training, motivating and developing them, being available for support in their daily activities;
Keep stakeholders informed of relevant progress or challenges, highlighting risks proactively;
Verify and give the internal sign-off on the allocated processes;
Act as process expert for the HR Services and Finance Teams and anyone else in the business for any payroll process clarifications/system issue;
Drive process excellence and continuous improvements (efficiency, consistency and automation) in all processes and domain expertise to enhance internal customer satisfaction and efficiency;
Define reporting and analyze KPIs and SLAs, root cause analysis of issues. Implement and monitor SLAs.
To thrive in this role, you'll have:
Knowledge of payroll in an international environment - ideally US, but other international market will be fine as well;
Excellent PowerPoint/Excel/Visio or a process flow tool knowledge;
Workday application knowledge is preferred (alternative technologies are also fine: SAP / Oracle / SuccessFactors / etc);
Change management skills and knowledge;
Strong communication and stakeholder management skills;
Attention to details;
Customer focus;
Dealing with ambiguity, adaptability, problem solving;
Fluent English;
Available to work following an US (NY) schedule: 12PM - 9PM until January 2026 (planned go-live). The work will move on standard hours afterwards.
